Leave & exceptions: letting your drivers fine-tune reimbursement eligibility

When you assign a reimbursement policy to a driver, their charges are automatically reimbursed based on the week's time windows. Leave periods and exceptions are one-off adjustments for special situations — as a manager, you decide whether your drivers can use them.

The concept: two types of exceptions

Leave periods and exceptions only apply in reimbursement policy mode. They don't replace the policy — they adjust it for a given period.

  • A leave period excludes a period: charges during it aren't reimbursed, even if they fall within a reimbursable window (for example, a personal holiday).

  • An exception includes a period: charges become reimbursable even if outside the usual windows (for example, a weekend business trip).

You stay in control

You choose, independently, whether to allow leave periods, exceptions, both, or neither. If you don't allow a type, drivers won't see that option in their account.

When should you turn them on?

  • Leave periods — if you want drivers to exclude their own personal time off without asking you.

  • Exceptions — if drivers occasionally use their vehicle for work outside usual hours (weekends, evenings, public holidays).

  • Neither — if you'd rather the policy apply strictly, with no driver adjustment.

On the driver's side

When an exception type is allowed, the driver can declare a period themselves and specify whether it's a leave period or an exception. They can never add a type you haven't enabled.
