Reimbursement policy or charging log: which mode to choose?

For each of your drivers, you choose how reimbursable charging sessions are determined. Voltaback offers two modes: reimbursement policy and charging log. This choice is independent of how the reimbursement itself is carried out (automated reimbursement or a statement), which is set once for your whole company during onboarding.

The concept: who decides what's reimbursable?

  • Reimbursement policy — the rule decides. You define reimbursable time windows across the week. Any session that ends within a window is automatically included. The driver doesn't need to do anything.

  • Charging log — the driver decides. Every home charging session appears in the driver's log, and they mark which ones are reimbursable themselves.

The reimbursement policy mode

You assign a reimbursement policy defined by time windows across the week. This works well when business use follows a regular, predictable pattern: you set it up once, and the calculation happens automatically every month.

If you want all home charging reimbursed, you can set up a full reimbursement policy covering the entire week. You can also let your drivers fine-tune this with leave periods and exceptions (see "Leave & Exceptions: Letting Your Drivers Fine-Tune Reimbursement Eligibility").

The charging log mode

No automatic rule applies: the driver selects, session by session, which ones are reimbursable. This works well when the business share of charging varies or is hard to model with time windows.

How to choose?

Choose the reimbursement policy when eligibility can be defined by rules — the driver has nothing to do day to day. Choose the charging log when the business share is really decided case by case. In both cases, selected sessions are then processed according to your company's configured reimbursement mode.
